Office Moving Countdown Checklist

4-6 Weeks Before Move Date
Meet with office moving service representative  to finalise schedule
Review  moving plan timeframe and clarify  duties of participants
Review labelling plan and correct labelling procedures
Finalise date for employee move orientation meeting
Identify “high risk “ office items and declare in writing to moving company
Set date for meeting for move insurance coverage with Insurance company
Identify work needed at  new premises and schedule with professionals
New business stationery ordered for delivery to new premises
Possible issues for discussion with your moving service rep 

Potential  delays  and how they may impact your costs
Special insurance policies necessary to cover your business during the move
Recommendations for work on new premises Eg Carpenter, Electrician , Plumber

4 weeks before Move Date
Hold employee move orientation meeting
Packing supply distribution to employees --Crates, bubble wrap, labels and instructions
Document  shredders and refuse bins to be set up
Identify “special care “ items and review with moving service rep
Identify personnel to be on-site on move day
Possible Issues for Discussion
Any employee orientation difficulties ?
Employees and move coordinator expectations clear?
Packing and labelling responsibility for common areas Eg  kitchen, supply room etc
Conflicts with related vendors performing services during the project

2 weeks before Move

Cartons  and labels and packing supplies delivered
Lost and found area defined at new premises
Survey new premises for existing conditions of  walls , doors and floor coverings
Get  Contact numbers for:
Lift maintenance
Building contact (including after hours )
Moving service (including after hours )
Telecommunications  and Utility suppliers( after hours)
Issues to be addressed
Contact information for all suppliers during move ?
Contingency plan for absentee employees during move?

Move Week

Post floor plans, office layout diagrams and individual placards on cubicles etc at new premises
Ensure individuals present during move have copy of floor plans

Move Day

Move coordinators installed at new and old premises
Coordinators to direct movers and know placement of items and make list of final adjustments for moving crew
Final walkthrough with moving service supervisor at old premises to ensure all items removed
Cartons at new premises stacked with labels facing out
Debris removed ?
Survey for any potential damage to space or to office assets

Day after the Move

Follow up Removal Crew  available to assist with :
Final adjustments to furniture and fixtures
Items requiring attention
Reassembly of items
